Important Information on Security Regulations

Due to extra security screening on 2 September, all delegates will be required to pass through security before entering the Main Hall for the Opening Ceremony. Please read the instructions carefully.

  1. All delegates must present valid identification with photograph (driver’s license, passport, or other photo identification). If any delegate fails to do so, they will not be allowed to access the Main Hall and will be directed to satellite viewing rooms.
  2. As all bags will pass through the security scanners, we kindly ask you to refrain from bringing large bags. There is limited capacity, and once we have reached its capacity the cloakroom will close. Please leave your luggage at the hotel (or hotel reception).
  3. When you arrive at ICC Kyoto, proceed to the registration area located in the New Hall. The main entrance of the ICC Kyoto is closed during 1-6 September.
  4. We kindly remind you to plan enough time to pass through the security checks. Registration will open at 7: 30 am on 2 September.

* Weekly passes and day passes for the 25th ICOM General Conference in Kyoto are going quickly. Register before 23 August 2019 24:00 (JST) to make sure you get the ticket to the biggest conference for museum professionals in the world.
All weekly passes for ICOM Kyoto 2019 are sold out.

For all participants who wish to attend the conference: Daily passes will be sold on-site (ICC Kyoto New Hall) on a first come first saved basis. Please note that tickets can only be purchased on the respective dates (1 ticket per person).

Registration fees will be charged in Japanese Yen. The Euro amounts listed above are given for reference only, based on the exchange rate 1 Euro = JPY 131.

Category

  1. ICOM Member: The registration fee for individual ICOM member participants includes admission to all keynotes and committee sessions, Museum Fair and Expo Forum, opening ceremony and party, closing ceremony and party, lunch, social events, excursions, congress bag, programme book, and 7-day Kyoto city bus and subway pass.
    *Participants residing in Category 3 and 4 countries (click here to see categories) will be eligible for discounted fees.
     
  2. ICOM Institutional Member: If your museum is an ICOM Institutional Member, it can register up to three (3) representatives as ICOM members for participation to the General Conference. Staff who have not been registered as designated representatives cannot register for the conference as ICOM members. Please contact your National Committee well in advance if you need to change the names of designated representatives from your institution. Please also ask your National Committee for an ICOM Institutional Member list if needed. Registration arrangements may be done by persons other than the representative themselves. The registration fee includes everything listed under “ICOM Member” above.
     
  3. Non-Member: The registration fee for non-member participants includes admission to keynotes and committee sessions, the Museum Fair and Expo Forum, the opening and closing ceremonies and parties, lunch, social events, excursions, congress bag, programme book, and 7-day Kyoto city bus and subway pass.
     
  4. Accompanying Person: Only one accompanying person may be registered per participant. Accompanying persons will have restricted access to the conference. Th­e registration fee includes access to opening party, closing party, Museum Fair and Expo Forum, lunch, social events, excursions, and 7-day Kyoto city bus and subway pass.
    *Th­e following are not included with accompanying person registration: access to any sessions, opening ceremony, closing ceremony, congress bag and programme book.
     
  5. Student: Students must be enrolled in a university and provide a valid student card or letter of enrollment in order to qualify for this discount.
    *Th­e student registration fee includes the following: access to all sessions, Museum Fair and Expo Forum, opening ceremony and party, closing ceremony and party, lunch, social events, excursions, congress bag, programme book, and 7-day Kyoto city bus and subway pass.
     
  6. Day Pass: Day passes are available only for 2, 3 and 4 September. Passes may be purchased for up to two (2) of these days.
    *­The day pass includes access to all events held on the selected day(s), including the following: sessions, Museum Fair and Expo Forum, opening ceremony and party, lunch and social events. Th­e congress bag and programme book are not included.
     

Methods of Payment

  1. Credit Card (VISA / Master Card / American Express)
  2. Bank Transfer (only possible until 1 August 2019)

Bank transfers must be paid within 1 month of registration. All payments must be received before the payment deadline for that registration category; otherwise, the next level registration fee will automatically apply.

Cancellation Policy

Notification of cancellation must be made in writing and sent to ICOM Kyoto 2019 Registration Department by email (icom2019@kit-group.org) or by fax (+49 (0) 30 24603 399).

Refund will be made for cancellations according to the policy below.
 By 30 June, 2019: Handling fee 50%
 On or after 1 July, 2019: Handling fee 100%

Group Registrations

For group registrations of 10 or more delegates, please read the procedure, fill in the registration form and name list, then send them to ICOM Kyoto 2019 Registration Department by email (icom2019@kit-group.org).

Letter of Invitation for Visa Application

Individuals requiring an official Letter of Invitation can request one from icom2019@kit-group.org. To receive a Letter of Invitation, attendees must first register to the conference and submit payment in full.
The Letter of Invitation does not financially obligate the conference organisers in any way. All expenses incurred in relation to the conference and the visa application are the sole responsibility of the attendee.

Visa Requirements

It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees who require an entry visa must allow sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. The organisers will not directly contact embassies and consulates on behalf of visa applicants.
